Use the Itemised quotation format when you want the customer to see a line-by-line quote of the system you designed — hardware, adders, services, incentives, and (where relevant) a dealer fee — adding up to Purchase Price.
The existing Summary and Show battery price on proposal formats are unchanged. Use Itemised when a line-by-line breakdown is clearer for the customer, a lender, or how you sell.
Who can use this
Anyone who can open a system’s Pricing tab can switch to Itemised and edit customer-facing lines (names, quantities, tax, and price), subject to your organisation’s pricing permissions.
Whether cost and markup appear in the itemised table depends on the user’s role. The customer never sees cost or markup.
Organisation admins should set component costs, adders, incentives, and commission in Control so quotes populate automatically on each job.
Prepare once in Control
Do this as an admin so quotes build themselves on real jobs.
1. Add component costs (COGS)
Control → Design & Hardware → Modules, Inverters, Batteries, Other Components.
Unit cost is what OpenSolar uses to calculate markup on each line. Whether cost and markup appear in the itemised quotation table depends on the user’s role.
You can edit a component’s cost on the job if your role allows it. Doing so sets that component’s cost source to Manual.
2. Check cost and price schemes
Control → Pricing & Payments → Cost Schemes and Price Schemes.
If you edit lines so the total no longer matches the scheme, the job switches to Enter price manually. Switching back to Summary restores the previous scheme.
3. Review auto-applied adders, incentives, and commission
These appear on the table automatically — messy auto-apply means a messy quote.
- Adders — Control → Pricing & Payments → Adders Library. Use customer-friendly names. If Show to Customer is off, the value still lands as Balance of System so totals add up. Only auto-apply adders you want on most jobs.
- Incentives — Control → Other → Incentives. Check wording and that they should actually auto-apply.
- Commissions — Control → Pricing & Payments → Commissions. Unexpected commission is a common reason the quote does not match what you thought you sold.
4. Check payment options
Control → Pricing & Payments → Payment Options.
On the Pricing tab, Price breakdown for chooses which payment option the itemised quote is showing (cash, loan, and so on). A dealer fee line appears only when that payment option has one (the label is editable). Visible lines must sum to Purchase Price. Finance interest stays on the payment option, not in the goods table.
On the job, in Studio
- Design as usual. Modules, inverter, battery, mounting, EV charger, and other components become quotation lines automatically — quantities and prices included. You are not starting from a blank quote.
- Open the system Pricing tab.
- In Price breakdown for, choose the payment option you are quoting.
- Set Quotation format to Itemised.
The table is grouped as Goods, Adders, Services, and Incentives and discounts. A dealer fee line sits below those groups when the selected payment option has one.
Edit how the quote reads
OpenSolar fills the table; you decide how it is presented.
Open Edit itemised quotation to:
- Rename lines
- Change quantity, tax, or price
- Add extra goods or services (scaffolding, grid connection, labour, and so on)
- Delete lines that should not appear
- Apply a tax override to all lines
- Rename the dealer fee label
If your role can see costing, sense-check margin on the lines. If not, that is expected — ask an admin.
Source chips such as Design, Adder, and Manual are for your team only. They do not appear on the customer proposal.
What the customer sees
Preview the online proposal and PDF before you send.
The customer sees grouped line items with quantity and price (inc tax), then Purchase Price. Purchase Price must equal the visible lines. No cost or markup appears for the customer.
Preview both cash and finance when you quote more than one payment option. The dealer fee only appears for the option selected in Price breakdown for.
Keep it tidy
When you add a new component, add its COGS the same day. When you create an adder or incentive, set auto-apply and Show to Customer before it hits a live job.
If something looks wrong
| What you see | What to try |
|---|---|
Hardware missing from the table |
Confirm it is on the design, not only discussed in notes |
Markup looks empty or odd |
Set component COGS in Design & Hardware, or edit the cost on this job |
I cannot see cost or markup |
Your user role does not include costing visibility — ask an admin |
Unexpected extra line |
Check auto-apply adders, incentives, and commission |
Price does not match your scheme |
Line edits switch the job to Enter price manually so the quote stays reconciled |
Hidden adder “disappeared” |
Look for Balance of System — the value is still there so totals are correct |
Unit cost is locked |
Your role can see costing but cannot edit COGS — ask an admin |
Dealer fee missing / extra |
Check which payment option is selected in Price breakdown for — the fee only appears for options that include one |
