Introduction
CashFlow invoices are designed to make getting paid for your solar work simpler than ever. This article breaks down each element of the invoices that OpenSolar generates, including explanations of how we calculate values and where the data comes from.
This article looks at milestone invoices for standard projects. If you need a standalone invoice instead (e.g., subcontracted work, panel upgrades), learn more here.
Invoice Breakdown
Sample Invoice
Provider Information
The top of the invoice includes your company’s logo and contact information. Learn more about editing your company information and logo.
If you are using Teams with CashFlow, the invoice will show the information for the EPC that will receive the payment. If you’d like to create payments yourself, set up CashFlow for your organization’s account.
Invoice Number and Dates
OpenSolar automatically generates a Invoice number (e.g., #INV-00019). This cannot be edited. The invoice number starts at #INV-00001 when you create your CashFlow account and counts up from there as your team sends more invoices out.
The invoice header also includes two dates:
- Issued date: The date the invoice was sent to the customer
- Fulfillment date: Also equal to the date the invoice was sent to the customer.
Customer Information
By default, CashFlow invoices show the customer’s name, contact information and address from the project record.
If you need to change the customer details on the invoice (e.g., if the project is a second home), please refer to our help center article on Editing CashFlow Invoice Details.
Milestone Payment Line Item
With CashFlow, all project costs are rolled up into a single line item for the milestone payment by default. That total amount is then split over multiple invoices based on the milestone configuration you have set up.
Header | Data Source |
Product | Static text “Milestone Payment” |
Description | For each milestone the description will show the milestone title (e.g. “Deposit”) configured in settings |
Quantity | Quantity will match the milestone percentage for the payment due (e.g. 10% = 0.1) |
Units | Static text “units” |
Price | Shows total system price |
Discount | Shows discounts added to the system. Note that tax rates for discounts must match tax rates for the rest of the system. |
Amount | (Price * Quantity) - Discount |
Sales Tax | Set in pricing |
Adder Line Item(s)
Pros can add any project cost on a separate line item by adding it as an Adder with the “show to customer’ toggle switched on.
ALL adders marked as Show to Customer will appear as separate line items. Adders not shown to the customer will be rolled into the milestone payment line item.
Header | Data Source |
Product | Adder Label |
Description | N/A |
Quantity | Quantity will match the milestone percentage for the payment due (e.g. 10% = 0.1) |
Units | Unit Label on adder, or static text units if not provided |
Discount | N/A |
Amount | (Price * Quantity) - Discount |
Sales Tax (%) | Set in adder settings |
Note: Tax rate for adders not shown to the customer must match project-level tax rate. Tax rates cannot be blended on a single line item, so an adder must be either shown to the customer or have a matching tax rate of the project.
Incentives
Project incentives marked as paid to the installer will appear in the summary section of the invoice. The name of the incentive(s) will appear below the label in subtext. Incentives will be split across project invoices to match the milestone amounts.
Incentives are removed from the system price after tax amounts are calculated.
Subtotal, Tax & Total
The subtotal reflects the sum of the amount due for each line item, before tax.
Total Sales Tax is summarized by tax rate. If there is more than one tax rate on the project, the invoice will automatically break that out into multiple separate lines.
The total includes subtotal and all taxes, and reflects the total amount due for this invoice.
Payment Terms
Payment terms will automatically populate in the lower-left corner of the invoice to match the terms set in configuration. For example, if payments are due 15 days from invoice issued, payment terms will appear as Net 15.
For more information, please refer to our help center article on Configuring Customer Communications for CashFlow.
QR Code
Your customer can use the QR code in the lower-right corner of the invoice to go directly to the payment gateway for the project, which is optimized for mobile.
