Calendar
The Calendar provides a traditional bird's-eye view of your organization's commitments.
Navigating Your View
- Switch Views: In the top left, use the dropdown to toggle between Month, Week, Day, and List views.
- Time Travel: Use the date selectors at the top to jump between specific days, weeks or months.
- Filters: Operate the Filters to narrow down events by specific criteria to find exactly what you're looking for.
Adding an Event
- Creating New Event: Click + Event or simply click and drag over a time slot on the calendar to open the event editor.
- Select Event Type: Choose from a list of event types to give your project context and support filtering capabilities.
- Link a Project: You cannot save an event without associating it with a project. Search for the project address or name in the "Project" field.
- Customize: Assign a color, set the date/time (or mark as "All Day"), and invite team members under the Attendees section.
- Attachments & Notes: Add relevant notes or upload files directly from your device or the project repository.
- Save: Click Save, and the event will appear instantly in your calendar.
Pro Tip: Use consistent color-coding for event types (e.g., Green for Installs, Red for Sales) across your team to make the Calendar readable at a glance!
Integrations
Integrate your OpenSolar calendar with your native calendar app to keep your schedule in sync and ensure you can stay up to date whilst on the go:
- Click the Connect Calendar button in the top right.
- Select either Google or Outlook.
- Follow the authentication prompts to authorize the connection. The button will show a "Connected" state.
Once connected, your assigned events will sync with your connected calendar. Any amendments or deletion will take effect. This is a two way sync, so updates made in your native app will be updated in your OpenSolar calendar.
Please note that each individual user should connect their calendar via the above steps in order to see OpenSolar events in their native calendar app. Only organisers of the event will be able to edit them in the external calendar.
Schedule
The Scheduling tab offers a powerful Gantt Chart view, perfect for resource management and high-level planning.
Group by
Organise your view by grouping to give you clear insights:
- Team Member: See exactly what each person is doing and identify gaps in your workforce.
- Group by Project: View the chronological flow of multiple events tied to a single project.
Managing in Schedule
- New Events: Again, clicking + Event or directly into the gantt view will open the new event editor for you to add a new event.
- Quick Adjustments: Need to reschedule? Simply click and drag an event block to a new date or time. The system will update the event details automatically.
Events in your Projects
You can also manage scheduling without leaving the specific project you are working on.
Managing Events within a Project
- Go to the Manage tab and click on the Schedule sub-tab.
- Here, you will see a list of all events associated specifically with this project.
- Click + Event to add a new event. The project field will be pre-populated for you, saving you a step.
Project-to-Calendar Filtering
If you want to see how a specific project fits into the bigger picture:
- From the project's Schedule tab, click the Calendar icon.
- You will be redirected to the main Calendar, which will automatically be filtered to show only the events for that specific project.
