Adding a Countersignature to Your Profile
Before a team member can countersign proposals, they must add their signature to their OpenSolar profile.
Note: For security reasons, each team member must log in and upload their own signature. Account admins cannot add signatures on behalf of other users.
- Navigate to Control > Company > Team Members.
- Click Edit next to your name.
- Under the Countersignature section, click Add Signature.
- Choose to either Draw or Type your signature.
- Click Apply Signature.
- Ensure your First Name and Last Name fields are filled in.
-
Click Save.
Configuring Countersigner Settings
You can apply countersignature rules globally across all proposal templates or customise them per template.
Global Countersigner Settings
When global settings are active, they automatically apply to all proposals across your account.
- Click the Countersigner Settings button at the top of the page.
- Toggle on Turn on auto-apply Countersigner settings for all your proposals.
-
Choose your preferred countersigner assignment option:
- Assigned Team Member: Automatically assigns the signature of the team member assigned to the project.
- Fixed: Select a specific team member whose countersignature will apply to all proposals. Only team members with an active countersignature on their profile will appear in this list.
- Click Save.
Template-Level Countersigner Settings
If you prefer different countersignature rules for specific proposal templates, turn off global settings.
- In Control > Purchase Experience > Proposal Template, ensure global settings are turned off.
- Click Edit on the specific proposal template.
- Scroll to the Countersigner section and toggle it on.
- Select either Assigned Team Member or Fixed.
- Click Save.
E-Signature Integrations & Staff Signing Rules
- E-Signature Integration Override: If a contract uses an external e-signature integration (such as DocuSign or PandaDoc), the integration settings will override OpenSolar countersignature settings.
-
Restricted Staff Signing: When countersigner settings are enabled on a proposal template, staff users cannot accept or sign the proposal directly from the checkout page on behalf of the customer. The customer must complete the signature flow via the shared proposal link.
Customer Signing & Acceptance Flow
- Share the proposal with the customer using the shareable link or email feature.
- The customer opens the proposal and clicks through to the checkout/signing page.
- The customer reviews the terms, enters their name, and draws/types their signature.
- The customer sees the pre-populated countersignature details alongside their signature block.
-
The customer clicks Accept Proposal to finalise the contract.
Certificate of Signature & Compliance
Once accepted, OpenSolar generates a combined PDF containing the proposal, contract, and an audit trail. This can be located in your projects document repository. This will also be emailed to your customer on completion.
- Quote Acceptance Box: Displays side-by-side signatures, printed names, and dates for both the customer and the countersigner.
-
Certificate of Signature: Appears at the end of the contract document for legal compliance. It records:
- Date and time of each signature
- IP address and location data
- User identity, email address, and delivery method
- Complete activity timeline of the proposal
