This article relates to the Project zone > Info tab of the app.
Transactions
Once your customer has accepted the proposal, it will register as a transaction on the info tab, like this.
This transaction section will vary depending on what payment option your customer chose. The example shown above is for a cash payment (e.g. Bank transfer), which is considered an offline payment since the payment is not made directly through OpenSolar. However, if your customer opted for a Stripe credit card payment(insert link), this would be an online payment. If the payment option was via one of our finance integrations, then it would appear like the below:
Upon your customer accepting the proposal and OpenSolar recording this transaction, there will be a PDF automatically generated in the files area of the info tab. This PDF is a signed copy of the proposal/contract that you can use as evidence of purchase. This signed copy should be dated the exact same as the contract date, shown under the sale section of the info tab.
Requesting Payment
To request a payment from your customer, simply click on within the transaction section. Here, you can specify the amount you wish to be paid, the tax, and a surcharge (if necessary). If the payment has already been made, you can fill out the transaction time and type, and select whether the funds have landed in your account and if it is complete.
Note: requesting payment will not automatically send your customer an email. You should advise your customer to return to the online proposal (you can resend them the proposal if you wish), they will then see that the green “accept proposal” button has now changed to a “make payment” button.
When you customer clicks this button, they will then see the amount you have requested for this payment, and just like when they accepted the proposal, they will see the payment details (e.g. bank information, or credit card gateway via Stripe)
Once your customer has confirmed they have made the payment, simply return to Info tab > transactions section and click “request payment” and fill in the details described earlier:
This will then be recorded within the transaction area.
Knowing these steps is important to keeping all of your transactions and payments neatly organised in OpenSolar. If you wish to view a complete list of your transactions, simply return to your project zone, click the drop down and choose “transactions”.
